How to conduct purchase negotiations?

When buying certain things, you can very often afford to negotiate with the seller in order to establish the best possible conditions for such a transaction, satisfactory to both parties. Purchase negotiations can also be understood as the process of selecting the best supplier of specific goods, services or technologies for a given company. It is worth noting, however, that in this case negotiations are often conducted in an inappropriate way, and the whole company loses out on this.

One of the most common mistakes here is to focus exclusively on price issues. They are, of course, very important, but deciding to force the cheapest offer is not, despite appearances, one of the most advantageous solutions. The tendency to search for the cheapest solutions by force has been visible for many years both in private companies and public institutions, and year after year it is growing significantly. This can be seen in the way in which representatives of companies or institutions conduct negotiations with potential contractors. Practically all such conversations focus exclusively on price issues. It seems that apart from the costs of the order itself, nothing else counts - the quality, the way of execution or the time limit are somehow taken to the background. Meanwhile, you don't need to be any business specialist to know that sometimes paying more for something really good can really make a lot of money.

In some markets, interesting examples appear from time to time, which perfectly illustrate how dangerous the consequences of such an approach and focusing only on prices can lead to. Relatively recently, a certain company dealing with the food industry - more specifically, meat products - had to withdraw a huge amount of its goods from the market. Reason? The packaging that was used for these products turned out to be defective and not tightly sealed. The products stored in them were therefore perishable and unfit for consumption. The very cost of withdrawing such a large number of products from the market is a serious blow to the company. In addition, the media always report such matters quickly; another dangerous consequence has therefore been that the company has lost its popularity and its good name has been seriously compromised. It is easy to guess that this company decided to simply save money and automatically opted for the cheapest packaging, which was not the best quality. We cannot say whether this company, during the negotiations, established any conditions under which the supplier of the defective packaging should pay any compensation for the loss. Looking at the way in which such negotiations are often conducted, we sincerely doubt that.

Negotiations therefore need to be well prepared. The first step is simply to get familiar with the whole topic and to get a better idea of the products you are going to buy. It is worth getting to know their individual parameters, find out what to pay attention to when buying them and what to the greatest extent may decide about their good quality. All the subjects, the areas that we are going to negotiate, must also be prepared in advance. Focusing on only one of them leads to neglecting the others and, as a result, buying products of poor quality that will not be able to meet our expectations.

Disregarding other areas of negotiation also significantly weakens our position with regard to the supplier and makes us much less able to obtain the best conditions for us. The supplier can then only afford to push the price argument, even if its products are significantly worse than those of its competitors. Therefore, before negotiations begin, it is necessary to define precisely what the purchasing process should look like and what areas are most important for us here. The price itself is, of course, very important, but equally important, in addition to the quality of the goods ordered, is the question of payment or the deadline for completion of the order.

As the name suggests, negotiations are, in fact, a 'struggle' to achieve the best possible conditions. We must therefore also have arguments in hand to ensure that the supplier agrees to our expectations. In negotiations, if we have a reliable partner, there is always a compromise that is satisfactory for both sides. Negotiating is, after all, a very important skill, extremely useful for any entrepreneur. In the course of any business activity, we have plenty of opportunities to conduct various negotiations - they do not necessarily have to involve the purchase of specific items. Purchase negotiations, however, have a certain specificity which makes them slightly different from others.

First of all, here we have to be careful about a number of different factors that influence whether a given transaction will actually be beneficial to us. Finding a good negotiating partner is one of the key things here. It is worth remembering, however, that negotiating with a real expert in a given field in a situation where we ourselves do not have something more in common is not a small challenge. First of all, it is quite easy to "flood" us with various technical terms, which in reality won't tell us much. Of course, this is not about not trusting the professionalism of our potential supplier - then the negotiations will not make much sense either. However, common sense is important, because it is a serious mistake to fall into the trap of praising a product using terms that we do not understand.

In order to conduct negotiations that are beneficial to you, you simply need good practice. The more such conversations we have, the better we will understand the principles that must be followed and we will find out what are the most important issues for us here. Some entrepreneurs have been using trial and error methods for years to come up with the best solutions for themselves. Of course, this entails the risk of incurring certain losses. On the other hand, running any business is always one big risk that cannot be avoided in such matters.
